A 4-physician practice loses $50,000 a year to contracts it forgot about.

PracticeX is the Practice Command Center for independent facilities. One place for what's signed, what renews next, what needs action — and where better economics are hiding in plain sight.

The problem

Your most valuable agreements live in the worst filing system you own: shared drives, email attachments, and someone's laptop.

01 / Visibility

No one knows what's signed.

Ask a 5-location group to name their active payer contracts. You'll get a different answer from every facility admin.

02 / Deadlines

Renewals arrive as surprises.

Notice windows close quietly. Auto-renews fire without review. The first sign is the next month's EOB.

03 / Leverage

You're negotiating blind.

Without rate visibility across payers and facilities, you can't tell which contract is underpriced — only which one got worse.

04 / Ownership

Nobody owns the portfolio.

The practice admin has five other jobs. Counsel reviews clauses, not schedules. Contracts fall through the floor.

Product

The whole portfolio, structured — not just stored.

01 — Repository

One home for every signed agreement.

Upload PDFs, scans, Word documents. We normalize everything to a structured record you can trust — payer, vendor, lease, employee, processor. No migration project.

  • Drag-and-drop bulk upload. Google Drive & SharePoint connectors.
  • Automatic categorization by contract type and counterparty.
  • Original document always preserved alongside the structured record.
  • Facility-scoped permissions. Read/edit/admin roles out of the box.

02 — Extraction

AI reads the contract. You keep the gavel.

Effective date, notice window, auto-renewal clause, rate schedule, termination terms — extracted, scored for confidence, and surfaced for human review before anything goes live.

  • Per-field confidence scoring with source citations in the document.
  • High-confidence fields auto-approved; low-confidence routed for review.
  • Custom fields for payer-specific, lease-specific, and HR-specific contracts.
  • Every edit is audit-logged with reviewer, timestamp, and justification.

03 — Renewals

Deadlines that find you, not the other way around.

Every date — effective, termination, notice window, fee schedule refresh — is on a calendar, a dashboard, and an email. Miss nothing that matters.

  • Rolling 90 / 180 / 365-day renewal dashboard per facility.
  • Configurable lead times per contract type and dollar threshold.
  • Owner-assigned tasks with escalation if unacknowledged.
  • Digest email every Monday with what needs action this week.

04 — Search & ownership

Any clause. Any counterparty. Three seconds.

Search across every document and every extracted field. Filter by owner, facility, type, or status. Every contract has exactly one accountable human attached to it.

  • Full-text search across OCR'd document content and structured metadata.
  • Saved views: "Unowned contracts," "High-value payer renewals," "Needs review."
  • Ownership assignment with handoff history and reviewer chains.
  • Export: renewal calendar, contract summary, or audit-ready briefs.

Human-in-loop
Premium intelligence · Pro

The money hiding in your payer mix.

Pro turns your contracts into a rate intelligence layer. See which payers are underpricing you, which facilities are out of market, and which renewals deserve a real negotiation instead of a rubber stamp.

  • Reimbursement benchmarks against regional and specialty comparables.
  • Facility-by-facility rate variance — same code, different money.
  • Amendment lineage: what changed, when, and whether it helped you.
  • Renewal prep packs — the brief, the risks, the target asks.

White space

Between enterprise CLM and an EHR's file cabinet — there is nothing built for you. That's the gap.

Enterprise CLM

Ironclad · Icertis · Evisort

Powerful, legal-first, enterprise-priced. Sold to the legal department of a company with 5,000 employees — not the admin of a 4-physician GI group.

Too heavy. Wrong buyer.
PracticeX · PCC

The contract operating system for independent facilities.

Healthcare-native. Operator-first. Starts narrow on visibility, expands into reimbursement intelligence and a negotiation copilot on the same contract base.

Right buyer. Right scope. Right expansion path.
EHR & practice systems

athena · eClinicalWorks · Kareo

Contracts live as PDFs stapled to patient workflows. No extraction, no renewals, no intelligence. "Storage" is not a product.

File cabinet. Not a system.
HIPAA-ready infrastructure

Encrypted at rest (AES-256) and in transit (TLS 1.3). BAA available. Audit-logged access, row-level tenancy isolation.

SOC 2 Type I — in progress

Targeting Type I readiness in H2 2026, Type II in 2027. Evidence collection is live from day one of pilot.

US data residency

AWS US-East with HIPAA-eligible services. No offshore processing of PHI-adjacent contract content.

Human-in-the-loop AI

AI never commits to terms on your behalf. Every recommendation is reviewable, every edit audit-logged, every output attributable.

Design-partner cohort · April 2026

Five facilities. One cycle.
The product built in the room with you.

The Phase 1 pilot is a design-partner program. Five independent facilities, one full renewal cycle, weekly sessions, direct founder access. Pilot pricing in exchange for product shaping.

  • 01Onboarding in 2 weeks, not 2 quarters.
  • 02You feed us the top 30 active contracts — we don't migrate your filing cabinet.
  • 03Weekly co-design calls directly with the founders.
  • 04Locked pilot pricing for 24 months, including future Pro features.
  • 05Case-study participation (de-identified) in exchange.
FAQ

Reasonable questions.
Straight answers.

No — and that's intentional. A decade of scattered documents is a migration project, not a product launch. We start with your active contracts (the ones that still renew), get you clean going forward, and bring in historical documents as they become relevant. You get value in week two, not quarter four.
No. We don't touch clinical workflows, patient records, or billing. PracticeX handles everything administrative — payer agreements, vendor contracts, leases, employment, processors — that currently lives outside your EHR in drives, inboxes, and folders.
Native PDFs, scanned PDFs (with OCR), images (JPG/PNG/TIFF), and Word documents — we auto-convert everything to a normalized PDF + structured record. Excel rate tables come in Phase 2 as part of the Pro benchmarking module; for now, export to PDF and upload.
LLM-powered extraction with per-field confidence scoring. Every extracted value links back to the exact page and clause in the source document. High-confidence fields are auto-approved into your record. Anything medium or low lands in the review queue. No value goes live without a human confirming — or choosing not to.
A combination of public pricing-transparency datasets (machine-readable files mandated under CMS rules) and de-identified aggregate benchmarks from our customer base. We never share a customer's specific rates with anyone else. All comparisons are against pooled, anonymized ranges.
It can prepare for you — summarize what's weak, draft target terms, generate call notes and renewal briefs. It cannot send anything externally or commit you to terms. Every outbound action requires a human approval. That's a product principle, not a limitation we'll remove later.
The first facility admin upload is usually 30 minutes. By end of week one you have searchable, structured records of your 30 most important active contracts and a renewal calendar pointing at the next 180 days. That's the bar we hold ourselves to in the pilot.
